DESCRIPTION

Amazon’s Stores Security (StoresSec) organization is looking for a resourceful, innovative and driven Executive Assistant (EA) to support a VP of Worldwide Security Ops. We are looking for a true strategic partner, one who will provide proactive and collaborative assistance by anticipating problems, creating contingency plans and taking effective action with appropriate urgency in response to situations that require quick turnaround.

This is a Lead EA position with opportunities to build and drive policies and best practices across your EA team while building effective working relationships and partnering successfully with leaders of all levels inside and outside of the organization. This dynamic and multi-faceted role requires the capacity to own a variety of projects, many with high degrees of visibility and impact and as such, requires strong integrity and discretion in handling confidential information, professionalism and a keen eye for detail.

The successful candidate will be an effective communicator with the ability to deliver results across multiple objectives simultaneously - often under ambiguous circumstances and competing deadlines. We are looking for someone who is skilled at anticipating problems, creating contingency plans and taking effective action with appropriate urgency in response to situations that require quick turnaround. Other critical keys to success in this role are a calm and unflappable demeanor and great sense of humor.

Key job responsibilities
• Complex executive calendar management with detailed scheduling across multiple high-level calendars
• Serve as a lead EA to the other EAs who support this leadership team, ensuring consistent and excellent executive support is sustained for our leaders and that core administrative functions are maintained throughout the organization.
• Exec preparation, including detailed coordination of reading materials and background information to ensure executive readiness for daily events
• Coordination and planning of domestic and international travel, including organizing trip agendas and local logistics
• Completing expense reports, purchase orders, and managing corporate card purchases; participation in budget planning and tracking as needed
• Planning and coordinating team activities and events
• Serving as liaison between leadership and team members across multiple geographic regions
• Managing other core administrative activities (space planning, new-hire onboarding, organizational charts, supply ordering)
