The main purpose of this job is to provide administrative and operational support to the Commerce Bank Charitable Trusts & Foundations Office. Essential Functions include providing general administrative and operational support to the Commerce Bank Charitable Trusts & Foundations Office (CTFO), including scheduling meetings that often include multiple outside parties, filing expense reports, entering records into the CRM, and assembling prep information for meetings. Manage and respond professionally as directed to inquiries via CTFO general inbox, general phone line, and physical mail. Prepare final client-facing materials for foundation committee meetings. Draft, collate and mail final grant award letters and all payments distributed by the CTFO foundations. Perform administrative duties, including greeting guests entering the office; coordinating both on- and offsite meetings and occasional travel; communicating technology, supplies and facilities needs; and handling daily mail. Ensure regular communication and interaction with both team members and outside parties. Perform other duties as assigned. Knowledge, Skills & Abilities Required: Inquisitive, agile and strong team player with excellent written, verbal and interpersonal communication skills. Ability to work proficiently and professionally with people of all styles and seniority. Motivated and organized self-starter with strong attention to detail and the ability to manage multiple priorities despite interruptions throughout the day. Strong customer service and administrative skills with problem assessment and problem-solving skills. Demonstrate proficiency in or ability to quickly learn applicable systems, processes and programs (primary systems are Blackbaud grantmaking, Microsoft Word/Excel/Outlook/Teams, Workday, Zoom). Ability to remain adaptable and resilient to all situations with an optimistic outlook and cast a positive shadow that is aligned with our culture and Core Values. Education & Experience: High School Diploma or equivalent combination of education and experience required. 3+ years office experience within a professional environment preferred.
